YOUR NEW ROLEAs a Sales Operations Specialist, your primary responsibility is to establish and build strong partnerships with key accounts while driving the efficient outflow of orders across our wholesale distribution channels. You will play a crucial part in the end-to-end management of major and independent accounts, ensuring that everything from order entry and EDI processing to warehouse coordination and final delivery is executed with precision.
Reporting to the Sales Operations Lead, you will have operational ownership over the transaction lifecycle, with the autonomy to independently troubleshoot EDI issues and navigate complex vendor compliance guidelines to meet strict retailer deadlines. You will act as a primary cross-functional liaison, exercising professional judgment to align factory timelines with retailer expectations and ensure the accurate flow of inventory and financial data. Beyond daily execution, you are empowered to analyze current programs and implement process improvements that enhance the overall efficiency of our wholesale operations.

On a day-to-day basis, the Sales Operations Specialist will;
- Oversee wholesale accounts' day-to-day operations: order entry, EDI transaction processing and troubleshooting, warehouse drops, 3PL correspondence, tracking, returns, and warranties
- Assist account managers with trading partner onboarding and catalogue setup
- Provide operational support to North American sales reps.
- Manage submitted orders through to delivery to retailers.
- Ensure timely arrival of the product and liaise between the factory and the key partners (reps, merchants, and shippers).
- Work with finance on A/R collections and invoicing coordination, and any initiatives involving both departments.
- Build and maintain strong relationships with key members of key accounts through conference calls and regular communications.
- Support key account retailers, sales reps & planning team with day-to-day and seasonal needs.
- Assist in implementing daily and seasonal duties for the Majors Accounts Ops team.
- Provide support with key account vendor guidelines, helping manage 3PL’s order files to meet vendor requirements and cancel dates, assuring all compliances are met
- Ensure timely arrival of the product and liaise between the factory and the key partners (reps, merchants, GSMs, distributors, and shippers) if there are any delays or issues.
- Coordinate with the product, logistics, and distribution teams and the factories, tracking inbound products and communicating timelines with external parties.
- Responsible for ad-hoc reporting using Office Ops, Blue Cherry ERP, and any additional reporting tools as needed.
- Assist the in-house sales team with account shipping projections by month, season, and year to determine forecasts.
- Build and maintain strong relationships with all members of our operations and sales teams to ensure concise communication and teamwork.
- Analyze the effectiveness of current processes and programs, recommend, and implement any changes.
DELIVERABLES & KPIs- Ensure 100% accuracy in EDI transaction processing and order entry to minimize chargebacks and returns.
- Meet or exceed retailer "must-arrive-by" dates by closely managing 3PL order files and factory timelines.
- Maintain a high compliance score with major accounts by adhering to specific vendor guidelines and avoiding penalties.
- Provide monthly, seasonal, and yearly shipping projections to the in-house sales team to ensure realistic and achievable sales forecasts.
- Support the timely resolution of invoicing issues and collections to keep account aging within company standards.
- Deliver regular, streamlined ad-hoc reports using Blue Cherry ERP and Excel that provide clear visibility into order status and potential bottlenecks.
ABOUT YOU- 3-5 years of experience in customer service or performing sales operations duties.
- A post-secondary degree or diploma is an asset.
- Enterprise Resource Planning (ERP), Sales platform (B2B) experience, and Warehouse Management (WMS) experience are assets.
- Intermediate knowledge of MS Excel required.
- Excellent problem-solving, analytical, and collaborative skills.
- Excellent oral and written communication skills.
- Ability to locate and organize key data into streamlined and informative reports for internal and external parties.
- Strong organizational and analytical skills; ability to work effectively under time constraints and deliver results by critical deadlines.
- Must be highly detail-oriented with the ability to fulfill responsibilities with minimal supervision.
- Ability to work in a collaborative team-based environment.
YOUR JOURNEY WITH HERSCHEL SUPPLY
The annual salary for this role falls within the range of $65,000 - 75,000. This is a full-time hybrid role, based out of our Vancouver HQ 4 days per week - Monday to Thursday, with the ability to work from home on Friday.
