Position Description
Reporting to the Sales Operations Manager, the Sales Operations Coordinator will provide high-level administrative support for the Meetings & Conventions team. The role requires exceptional organizational and critical thinking skills, attention to detail and the ability to meet tight administrative deadlines under competing priorities to ensure the sales leadership team can focus on securing business for the city.
Key Responsibilities
- Support the business development team’s efforts primarily through administration, strategic positioning, and bid book development.
- Analyze and service the needs of clients from the point of initial contact until the event takes place. Includes assistance in procuring client event venues and accommodation requirements, bid assistance, marketing support, and securing event funding.
- Liaise with Calgary’s industry suppliers to ensure client requests and requirements are addressed.
- Proactively promote the products, services and support available in Calgary (and area) to new and repeat clients.
- Manage the client database which includes ongoing updating, tracking, and reporting requirements.
- Ensure contact information is listed and updated with industry organizations.
- Gather and analyze market intelligence for industry trends, competition, etc.
- Complete reports as required for analysis such as lead generation, conversion and associated economic impact.
- Assist in the development of client services and research management policies and processes to heighten efficiencies.
- Marketing and administration duties as assigned.
Qualifications
- 2 -3 years of related experience, with preference given to experience working within the event sales or hospitality industry.
- A practical understanding of customer service and the needs and expectations of clients.
- Strong knowledge of the product, services and support available in Calgary and the immediate area.
- Diploma or degree in related discipline is preferred.
- Strong verbal and written communication skills.
- Proficiency required with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.
- Experience working with Customer Relationship Management software is preferred.
- High level of professionalism and discretion when handling sensitive or confidential information.
- Demonstrated effectiveness working independently and as part of a team.
- Flexibility in changing or shifting priorities and deadlines.

Working Conditions
- This is a hybrid home-office role requiring on-site presence at the Tourism Calgary downtown office on Tuesdays, Wednesdays, and Thursdays.
- Mondays and Fridays are optional work-from-home days, though in-office attendance may be required to support business and meeting needs.
- This role requires occasional evening or weekend work, including the requirement to be present on-site as dictated by business needs.
- Laptop and cellphone will be provided by Tourism Calgary.
