Role Description
Rusty USA, the sister company to Rhythm, is looking for a highly organized and detail-oriented Sales Operations Coordinator to join our U.S. team. This role is central to ensuring a seamless experience for our wholesale customers, sales reps, and internal teams. You’ll manage order processing, customer accounts, and day-to-day service inquiries while working closely with sales, operations, warehouse, and finance.

What You’ll Do
- Order & Dispatch Management
- Work with the warehouse to manage order dispatch and ensure timely delivery for wholesale and ecommerce orders.
- Release validated orders to pick and coordinate with backorder or stock shortages and ensure the timely delivery of orders.
- Invoice dispatched orders, ensuring accuracy of freight charges and shipment details.
- Customer Service
- New account set up, including pricing tiers, delivery instructions, and sales rep assignments.
- Maintain accurate customer data, including billing and shipping details.
- Respond to daily account and sales rep inquiries via email and phone.
- Manage order adjustments, holds, shipping issues, and return requests.
- Provide proactive updates to customers and internal teams.
- Monitor online store’s mailbox for all customer service inquiries regarding order status, refund requests, and product questions.
- Order Processing & Fulfillment
- Process orders, validate pricing, discounts, and project allocations.
- Run reports and ensure orders are synced properly and are accurate.
- Returns & Credits
- Process Return Authorizations (RA), secure approvals when needed, and coordinate with the warehouse for validation.
- Enter and finalize credits in coordination with Finance.
- Process online store returns via Shopify and Cin7.
- Reporting & Admin
- Create inventory and sales reports for internal and external stakeholders.
- Track and process promotional orders for employees, reps, and marketing.
- Support general office administration, including supplies, vendor coordination, and phone coverage.
What We’re Looking For
- Experience in wholesale customer service, order management, or account coordination (apparel or wholesale industry a plus).
- Strong organizational skills and high attention to detail.
- Ability to manage multiple priorities in a deadline-driven environment.
- Proficiency with order management or ERP systems (Cin7, NuOrder, Shopify, or similar preferred).
- Excellent written and verbal communication skills.
- Problem-solving mindset with a customer-first attitude.
