About QNT Partners
QNT Partners is a specialist recruitment firm for the quantitative trading industry. We place people into systematic funds, prop trading firms, and crypto trading businesses. It's a small, founder-led team, and we're growing fast enough that this role exists because there's more happening than one person can keep on top of.
The role
This isn't a role where you get handed a checklist and told to repeat it every week. You'll work directly with the co-founder across everything in the business: the day-to-day running of the company, marketing, admin, operations, whatever's live that week. Some days that's chasing a signature on a contract or cleaning up a CRM record. Other days it's writing a LinkedIn post, planning something the business has never done before, or fixing a process because the old one stopped working.
Two things matter more than anything else in this role: organisation and creative thinking. You need to bring order to real variety without being told how, and you need to enjoy finding a better way to do something instead of just doing it the way it's always been done.
What you'll own
In practice, that variety looks like:
Business operations & finance
- Manage contracts from start to finish: prepare, send, and chase signatures on client agreements through DocuSign.
- Own invoicing. Raise invoices, track payment status, and follow up on overdue fees.
- Support cash flow tracking and work with the accountant on routine finance admin.
- Keep company documents, tax filings, and compliance paperwork organised across jurisdictions.
CRM & recruitment operations
- Keep Bullhorn and Airtable clean and current: job statuses, submission tracking, candidate records.
- Watch client job postings and hiring activity, and flag new opportunities to the desk.
- Put together recurring reports: weekly pipeline updates, client BD summaries, submission trackers.
Marketing & content
- Run the team's LinkedIn presence. Keep profiles current, schedule posts, track engagement.
- Manage the content pipeline: publish articles to the website, coordinate headshots and brand assets, draft social copy.
- Keep the weekly marketing and BD cadence running, even when the desk is heads down on deals.
Whatever's live that week
- Jump into the day-to-day running of the business with the co-founder. That could mean problem-solving on a live deal or building a new initiative from scratch.
- Provide light executive support: scheduling, travel, general coordination.
- Catch whatever falls between the cracks and fix it without waiting to be asked.
What we're looking for
- You're organised. You build systems instead of surviving on to-do lists, and nothing slips even when six things are moving at once.
- You think creatively. You notice better ways to do things and say so. This business is still being figured out, and we want your ideas in it.
- One to four years' experience in an operations, EA, or coordinator role, ideally in recruitment, financial services, or another fast-moving professional services business.
- Strong written English and a sharp eye for detail. You're comfortable representing the brand on LinkedIn and in client-facing documents.
- Comfortable with, or quick to pick up, Bullhorn, Airtable, DocuSign, and LinkedIn scheduling tools.
- Discreet and trustworthy. You'll see client contracts, fees, and the inner workings of the business.
- Comfortable working with a team spread across time zones, with some flexibility on hours.
- Based in Sydney. This is a requirement, not a preference, since the role moves to in-office days as the local team grows.

- The role will grow and change as the business does, so where it ends up in a year is partly up to you.
What success looks like in the first 90 days
- Contracts, invoicing, and CRM hygiene run on a reliable weekly cadence without anyone needing to chase.
- LinkedIn and content publishing follow a steady weekly rhythm.
- The co-founder and the desk have noticeably less admin in their inbox, and you've already suggested one thing that could run better.
Compensation and logistics
- Base salary: AU$60,000 to AU$80,000, depending on experience.
- Sydney-based. Remote first to start, moving to three days a week in the office as the Sydney team builds out.
- Reports to: Co-Founder.
